POLICIES &
PROCEDURES

The College maintains a structured and transparent exit policy to regulate completion of studies, voluntary withdrawal, transfer, dismissal, or expulsion of students while safeguarding academic standards, institutional discipline, and student rights.


TYPES
OF EXITS

1.1 Completion of Degree Programme
A student shall be deemed to have successfully exited the College upon fulfilment of all academic requirements of the relevant programme, including:
- Completion of prescribed coursework and credit requirements;
- Successful completion of all studio, practical, theoretical and departmental assessments
- Submission and approval of the Final Year Project/Thesis, where applicable and
- Clearance of all financial and administrative obligations
Upon completion of these requirements, the student shall become eligible for the award of the relevant degree and issuance of official academic records.

1.2 Voluntary Withdrawal
A student may withdraw from the College by submitting a written application through the Registrar’s Office. Withdrawal shall become effective only after completion of the prescribed exit formalities.

1.3 Migration or Transfer
A student seeking transfer to another recognized institution shall submit a formal application through the Registrar’s Office, accompanied by documentary evidence of admission or acceptance by the receiving institution. Migration shall be subject to approval by the competent authority and completion of all exit requirements.

1.4 Academic Dismissal
A student may be removed from the College rolls on academic grounds, including:
- Failure to meet academic progression requirements
- Repeated failure in examinations, studio assessments, or coursework
- Failure to satisfy attendance requirements or
- Non-payment of dues within the prescribed timelines
Such dismissal shall be notified by theRegistrar’sOffice.

1.5 Expulsion
A student may be expelled for serious misconduct, including but not limited to:
- Academic dishonesty, including cheating, plagiarism, or fabrication of work
- Violence, harassment, or damage to College property or
- Violation of the College Code of Conduct or institutional regulations.
- Misuse of social media, electronic communication, or digital platforms in a manner that harms the reputation of the College, its students, faculty, staff, or stakeholders, constitutes harassment, dissemination of false information, breach of confidentiality, or violation of applicable laws and institutional policies.
Expulsion shall only be imposed after due process, including an opportunity for the studentto be heard by the competent authority.


EXIT
PROCEDURE

All students leaving the College, whether through completion, withdrawal, migration, dismissal, or expulsion, shall complete the prescribed exit process.

2.1 Clearance Requirements
The student shall obtain clearance, where applicable, from:
- Academic Department
- Library
- Accounts/Finance Office
- Workshops and Laboratories
- Hostel Administration
- Examination Office
- Administrator IT

2.2 Return of College Property
Before exit, the student shall return all College property in his/her possession, including:
- Student Identity Card
- Library books and borrowed materials
- Tools, equipment, and workshop assets and Hostel property, where applicable
Any loss or damage shall be recoverable in accordance with college regulations.


FINANCIAL AND
ADMINISTRATIVE
MATTERS

3.1 Fee Liability
Unless otherwise provided under applicable regulations:
- Fees once paid shall be non-refundable
- Withdrawal, absence, dismissal, or expulsion shall not absolve a student from liability for outstanding dues and
- Any refund shall be governed by applicable HEC and College policies.

3.2 Issuance of Academic Documents
Transcripts, degree certificates, migration certificates, verification letters, and other official documents shall only be issued after:
- Fulfilment of academic requirements (where applicable)
- Financial clearance
- Completion of exit formalities and Return of all College property
The College may withhold academic documents until all obligations have been satisfied.

PROVISIONS

The College reserves the right to amend, revise, or update this policy in accordance with applicable laws, regulatory requirements, academic standards and institutional needs.

All decisions of the competent authority relating to student exit shall be final and binding.
